Plain-language definitions of the terms you will meet when buying or building AI automation. Each entry opens with a direct answer, then goes deeper.

  1. 3-way matching

    Three-way matching is the automated check that a supplier invoice agrees with the purchase order and the delivery note before it is paid: same items, quantities and prices.

  2. Agentic AI-RPA (browser agents)

    Agentic AI-RPA uses vision-capable AI agents (Stagehand, Browserbase, Playwright with a model) that open a browser, log in to a legacy portal or ERP with no API, read the screen and click through tasks like a human operator, but overnight and in seconds.

  3. AI agent

    An AI agent is a program built around a language model that can take actions, not just answer.

  4. AI and GDPR

    Using AI on customer data in the EU falls under the GDPR like any other processing: you need a lawful basis, a data processing agreement with every provider, data minimisation and the ability to delete.

  5. AI automation

    AI automation is the use of machine learning models, most often large language models, to carry out business tasks that previously needed a person to read, decide or write.

  6. AI content repurposing

    AI content repurposing turns one piece of source material a week, such as a 15-minute recorded customer conversation or a voice note, into a full set of channel-specific content: a LinkedIn article, three Facebook posts, an Instagram carousel script, a short-video script and a newsletter.

  7. AI lead scoring

    AI lead scoring assigns every inbound enquiry a score, typically 1 to 100, from company size, decision-maker role, budget signals and behaviour such as visiting the pricing page or opening a proposal.

  8. AI voice agent

    An AI voice agent is software that answers or makes phone calls, understands speech in real time, holds a natural conversation and completes tasks such as booking an appointment, qualifying a caller or taking an order.

  9. API (application programming interface)

    An API is the doorway through which one piece of software talks to another.

  10. Conversational AI

    Conversational AI is the family of technologies that let software hold a natural dialogue with people through text or voice.

  11. Database reactivation

    Database reactivation is a campaign that messages past customers who have not bought or booked in 6 to 18 months with a short, personal, non-promotional SMS or email, and lets AI handle the replies and bookings.

  12. Executive brief (daily AI digest)

    An executive brief is a one-minute summary an AI sends the owner at 8:00 and 18:00: urgent items needing a decision, new quote requests with their estimated value, and support statistics such as emails answered and average response time.

  13. Hallucination (AI)

    In AI, a hallucination is a confident answer that is not supported by the model's input or by facts: an invented price, a policy that does not exist, a citation that was never written.

  14. Human in the loop

    Human in the loop is a design pattern where an automated system handles the routine cases on its own and hands specific cases to a person: low-confidence extractions, unusual requests, high-value decisions.

  15. Intelligent document processing (IDP)

    Intelligent document processing, IDP, uses AI to read documents such as invoices, contracts, forms and delivery notes, extract the fields that matter, validate them against other data and pass them into your systems.

  16. Lead qualification

    Lead qualification is the process of deciding whether a new enquiry is worth a salesperson's time and how urgent it is, based on criteria such as budget, need, timing and fit.

  17. LLM (large language model)

    A large language model, or LLM, is an AI model trained on vast amounts of text to understand and generate language.

  18. Missed call text-back

    Missed call text-back is an automation that sends a personal SMS or WhatsApp message within 30 to 60 seconds of a call your business could not answer, asks how it can help, and books a callback or appointment.

  19. NAV Online Számla cross-check

    A NAV Online Számla cross-check queries the Hungarian tax authority's invoice reporting system through its machine-to-machine API to confirm that a received invoice was actually reported by the issuer, with matching amounts, VAT and dates, and that the issuer's tax number is active.

  20. No-show prevention

    No-show prevention is an automated reminder and confirmation chain that cuts missed appointments: an email 48 hours before, an interactive SMS or WhatsApp confirmation 24 hours before, and automatic rebooking plus waitlist fill when someone cancels.

  21. OCR (optical character recognition)

    OCR, optical character recognition, converts images of text, such as scans and photos, into machine-readable characters.

  22. Quote-to-cash

    Quote-to-cash is the automated chain from an accepted proposal to money in the bank: the customer picks a tier and signs digitally, the contract is generated from the approved template, the invoicing API (Billingo, Számlázz.hu) issues the deposit invoice with a payment link, and the project appears in the task manager.

  23. RAG (retrieval-augmented generation)

    Retrieval-augmented generation, RAG, is a technique where an AI assistant first searches your own documents for relevant passages and then answers using only what it found.

  24. Review funnel

    A review funnel is an automated message sent about 30 minutes after a completed job or purchase asking for a 1 to 5 rating.

  25. RPA (robotic process automation)

    RPA, robotic process automation, uses software 'robots' that mimic a person clicking through applications: opening screens, copying fields, pressing buttons.

  26. Self-healing workflow

    A self-healing workflow is an automation that recovers from failures on its own: when an API times out or a partner server is down, it retries with exponential backoff, falls back to an alternative data source, resolves simple data mismatches, and only when a person is truly needed sends a precise Telegram or Slack alert with a one-click fix link.

  27. Speed to lead

    Speed to lead is the time between a prospect's first contact and your first meaningful reply.

  28. Text-to-SQL (chat with your data)

    Text-to-SQL lets a manager ask a business question in plain Hungarian or English ('which service made the most profit in the last six months, and which customers bought three times but have been inactive for 60 days?') and get the exact numbers, a chart and a three-sentence explanation.

  29. Voice-to-quote

    Voice-to-quote lets a technician record a one-minute voice note after a site visit ('four 120x150 windows, triple glazing, removal, brick building') and receive a branded PDF quote on their phone before they get back to the office.

  30. Warm transfer (human handoff)

    A warm transfer is how an AI voice or chat agent hands a conversation to a person: it places the customer on hold, reaches the right colleague, briefs them in two sentences on who is calling and why, then connects.

  31. Webhook

    A webhook is a message one system sends to another the instant something happens, such as 'a new order was placed' or 'a form was submitted'.

  32. WISMO (Where is my order?)

    WISMO, 'where is my order', is the customer question that makes up 40–50% of e-commerce support contacts.

  33. Workflow automation

    Workflow automation connects the tools a business already uses so that data moves between them without manual copying.
